Your business, built into one system

Most software makes you work its way. I set up an open-source business system, built on Odoo Community, to work your way, then automate the busywork so your team can get back to real work.

Sound familiar?

  • The same information gets typed into three different places.
  • The "system" is a spreadsheet only one person understands.
  • Paper bills and receipts pile up until someone has a free afternoon.
  • You pay for several apps that don't talk to each other.
  • Nobody knows where a job or order stands without making a phone call.

What I build

One place for your work

Customers, quotes, jobs, timesheets, inventory and invoices, connected so each step picks up where the last one left off.

Automations that do the busywork

Reminders, follow-up tasks, status changes and routine emails that happen on their own when something changes or a date comes up.

Forms that feed your system

Website and request forms that land as records in your system, not as emails someone has to retype.

Paper in, organized automatically

Scanned and emailed documents are filed and searchable, and vendor bills arrive in your books as drafts for someone to check.

Reports you'll actually use

Simple dashboards for the numbers you check every week: open jobs, sales, stock on hand, what's owed to you.

Connections and small custom features

When you need to keep another program, I connect it so information flows on its own. When something is missing, I can build a small custom feature, quoted up front.

What that can look like

Examples of the kind of workflows I set up. Every business is different.

A request comes in through the website.

It becomes a job, the right person is assigned, the customer gets a confirmation, and the hours logged turn into an invoice.

A vendor bill arrives by email.

It's filed with that vendor's other paperwork and shows up in your books as a draft, ready for someone to check and approve.

Stock runs low.

The system flags it and drafts a purchase order to your usual supplier for you to approve.

Equipment is due for service.

A maintenance request is created on schedule, with its repair history in one place.

Straight answers about what's built in

I use the free Odoo Community edition plus free, well-supported add-ons wherever I can, so you're not paying per user, per month. Here's how it breaks down:

  • Built in: quotes and sales, contacts and pipeline, projects, timesheets, inventory with lot tracking, purchasing, manufacturing and packing, equipment maintenance, repairs, invoicing, website, email marketing and automation rules.
  • With free add-ons: full accounting reports, bank statement imports and reconciliation.
  • Paid edition only: barcode scanning app, quality checks, field service, scheduling boards, e-signature, appointment booking and helpdesk. Where you need one of these, I pair your system with an open-source tool that does the job, or a simple workaround. Payroll stays with your payroll provider.
  • Custom work: anything specific to your business, with a clear quote before it's built.

How a workflow project runs

1

Free review. Tell me what's slowing you down.

2

Map it. We walk through how work really moves today and agree on what to change.

3

Build in stages. I set up one piece at a time on a test copy, so day-to-day work isn't disrupted.

4

Train and document. Your team learns it, and everything is written down in plain English.

5

Hand off or stay on. Run it yourself, hand it to a local support company, or choose my monthly support plan for hosting, updates, check-ins and an email help desk.

FAQ

Frequently asked questions

No. Most businesses start with the one workflow that hurts the most and grow from there.

We bring over what's worth keeping, whether it lives in spreadsheets, QuickBooks or another program. We clean it up on the way in and keep a copy of the originals.

Yes, in the phone or tablet browser. People in the field can check jobs, log time and update records.

I'll say so plainly. Sometimes there's a free add-on, sometimes a separate open-source tool or a simple workaround does the job, and sometimes it needs custom work. You get the options and the cost before anything is built.

A new version comes out every year. Custom features and add-ons need updating along with it. The monthly support plan includes the yearly Odoo upgrade. Without the plan, I quote each upgrade up front so there are no surprises.

You decide. Each person gets their own login with only the access their job needs, owner accounts use two-step login, and access is removed as soon as someone leaves.
